How to build an AI hiring workflow
An AI hiring workflow is a sequence you can repeat: define the role, let software find and screen people, have a person decide, and record the outcome. It is recruiting automation with a named owner for the judgment. It is not a chatbot pasted onto an old process.
Put the steps in order
Write the scorecard. Source a short list against it. Screen that list with the same questions. Send outreach only to people you would actually meet. Schedule the conversation. Decide. If you automate a step that has no definition, you automate confusion.
Each step needs an output the next step can read. Sourcing outputs a name and a reason. Screening outputs a score and notes. Scheduling outputs a time. The hiring manager outputs a yes or a no.
What to automate
Automate search, the first-pass screen, the follow-up, and the calendar. Those steps are slow because they wait on a person to context-switch, not because they require unique judgment every time.
Do not automate the offer decision or the final read on a close finalist. A person who will work with the hire should make that call, using the notes the earlier steps produced.
How to use AI in recruiting without a new department
Start with one open role. Run Ava on sourcing and the screen for two weeks. Compare the people she advances with the people you would have advanced from the same pool. Widen to the next role only if the notes are specific enough to trust.
Keep the workflow in Slack if that is where the team already talks about hiring. A separate recruiting suite that nobody opens becomes a second job.
Where this differs from buying more software
Recruiting software that stores candidates still needs a person to search, write, and schedule. The workflow above assigns those actions to an agent and keeps the record. If you are choosing among products, judge them by which steps they finish, not by the size of the dashboard. Our note on AI recruiting software for startups is the longer buying guide.
Common questions
- What is recruiting automation?
- Recruiting automation is software that completes a hiring step, such as sourcing, screening, or scheduling, instead of only storing the result of that step.
- How do I start using AI in recruiting?
- Pick one role, write the scorecard, and let the AI run sourcing and the first screen. Compare its shortlist with your own before you add more roles.
- Will an AI hiring workflow replace a recruiter?
- It replaces the repeatable steps a recruiter spends the day on. A person still owns the role definition and the final decision. Many startups never hire that recruiter because the steps are covered.
